Privacy Policy — Noesis Voice

This policy explains what information Noesis Voice ("we", "us", "our") collects, why we collect it, who we share it with, and what you can ask us to do about it. We've written it in plain English.

- We collect what you give us (like the contact form or a booked call), basic website analytics, and — for our clients — the details callers share when our AI receptionist answers their calls.
- We use it to reply to you, run our service, and improve our website.
- We do not sell your personal information.
- We never use a client's call data to market to that client's callers.

2. Information we collect
2.1 Information you give us
- Contact form: your name, business name, email address, and anything you write in the message.
- Booking a call (through Cal.com): your name, email address, the time you choose, and anything you add to the booking.
- Emails, messages, and calls with us: whatever you choose to share.
- If you become a client: your business details, the phone numbers and calendar we connect to, your services and hours, emergency contact details, and billing information.
2.2 Information collected automatically on our website
- Google Analytics uses cookies to count visits and see which pages people read. It records things like approximate location, device, browser, and pages viewed. It does not tell us who you are.
- Cloudflare Web Analytics measures page views and performance without cookies and without tracking you across other websites.
- Cloudflare (which hosts and protects our website) processes your IP address and basic technical data to deliver the site and block attacks.
- Google Fonts receives your IP address when your browser loads the fonts used on our site.
2.3 Business contact information we use for outreach
We contact businesses we think our service could help. For this, we collect business contact information from public sources, such as a company's own website, public business listings, and public online reviews or statements about the business. This can include the business name, the name of an owner or staff member if published, a business email address, business phone number, website, city and state, and public information relevant to our service (for example, a website stating that the business offers 24/7 emergency service).
We only use this to contact businesses about our service. You can ask us to stop at any time (see section 11), and we will not contact you again.
2.4 Call information we handle for our clients
When our AI receptionist answers calls for a client business, it processes what the caller says and the details they give, typically:
- the caller's name and phone number
- their address and a description of the job or problem
- the time and length of the call
- a recording and/or written transcript of the call, and a short summary
- what happened on the call (for example, an appointment booked or the call transferred to the business)
This information belongs to our client (the business that was called). We process it on their behalf and on their instructions, only to answer calls, book appointments, transfer urgent calls, and send the business its call summaries.

- To reply to you and arrange calls
- To provide our service: answering calls, booking appointments, transferring urgent calls, and sending call summaries to our clients
- To contact businesses about our service (with an easy way to opt out)
- To keep our website and service working, secure, and improving
- To meet legal obligations and protect our rights
We do not sell personal information, and we do not share it for targeted advertising. We never use a client's call data to market to that client's callers.
4. AI, call recording, and caller notice
Our service uses automated speech and language technology (AI) to understand callers and respond to them. Calls answered by our service may be recorded and transcribed.
- Our assistant tells callers at the start of the call that the call may be recorded and that they are speaking with an automated assistant.
- Some US states require everyone on a call to agree before it is recorded. Our clients are responsible for making sure their use of call recording meets the laws that apply to their business, and we help by providing the notice above.
- We do not use one client's call data to serve other clients. Where our AI providers offer the option, we set them not to use our clients' call data to train their models.
5. Cookies, tracking, and "Do Not Track"
- Google Analytics sets cookies on our website. You can block or delete cookies in your browser settings, or install Google's Analytics opt-out browser add-on.
- Third parties may collect information about your activity over time and across different websites. On our site, this means Google, through Google Analytics.
- Do Not Track: our website does not currently respond to "Do Not Track" signals from web browsers.
6. Who we share information with
We share information only with service providers that help us run our website and service, and only what they need to do their job:

Each provider has its own privacy policy. We may also share information:
- if the law requires it, or to protect people's safety or our legal rights; and
- if our business is sold or merged, in which case the new owner must protect your information as this policy describes.
7. Text messages (SMS)
If our service sends text messages (for example, appointment confirmations), we only send them for the purpose you agreed to. Reply STOP to stop messages at any time, or HELP for help. Message and data rates may apply.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties.
8. Where your information goes
Noesis Voice is operated from Nepal, and our service providers are mainly in the United States and other countries. Your information may therefore be transferred to, stored in, and processed in countries other than your own. We use reputable providers and take reasonable steps to protect it wherever it is handled.
9. How long we keep information
- Website enquiries and booked calls: as long as needed to reply and keep a record of our conversation, and no longer than 24 months after our last contact unless you become a client;
- Business outreach contacts: until you ask us to stop, or 12 months after our last contact if you haven't replied. If you opt out, we keep only the minimum needed (such as your email address) on a "do not contact" list so we never contact you again;
- Client call data: for as long as the client's account is active. After the account ends, we delete it within 30 days of the client's request, unless the law requires us to keep it;
- Website analytics: according to our Google Analytics retention setting (14 months).
10. How we protect information
We use secure connections (HTTPS), limit who can access information, and use reputable providers with their own security programs. No system is 100% secure, but if a data breach affects you, we will tell you as the law requires.
11. Your choices and rights
You can ask us to:
- tell you what information we have about you,
- correct it,
- delete it, or
- stop contacting you about our service. You can also just reply "stop" to any message from us.
Email hello@noesisvoice.com. We may need to confirm your identity first, and we'll respond within 30 days. Depending on where you live (for example, some US states), you may have additional rights; we will honor them as the law requires, and we won't treat you differently for using them.
If you called one of our clients: your call information belongs to that business. Please contact them directly, or email us and we will pass your request to them and help them handle it.
12. Children
Our website and service are for businesses. They are not meant for children under 13 (or under 16 where local law sets a higher age), and we do not knowingly collect their information. If you think a child has given us information, contact us and we'll delete it.
13. Changes to this policy
We may update this policy from time to time. When we do, we'll change the "Last updated" date at the top. If we make an important change, we will also post a notice on our website and email our clients.
